Collaboration in a single absence management system
No absence case is the same. In our view, an optimal approach is not just about the legally required tasks; we aim for more than just ticking the mandatory boxes. In the integrated Xpert Suite portal, HR, the manager, employee, case manager, occupational physician, and other specialists work together to provide the best possible absence guidance. Those involved have access to what is necessary and permitted, with authorization tailored to their role.
Three elements
When an employee reports sick, the official tasks under the Improved Gatekeeper Act are initiated. We agree with our clients on who does what and record this in our protocol within Xpert Suite. This also results in the Action Plan, in which agreements are made about the goal of reintegration and how the employee can best achieve this goal. Those involved are reminded via Xpert Suite to take the right actions on time. The system monitors the steps and the timeline of an absence case, but the collaboration between employer and case manager is leading in this. In Xpert Suite, you can also generate or add documents and work on them together. And you can communicate with each other safely and easily, allowing for quick coordination. Boiled down to the core, we work with three elements: notes, documents, and tasks. This means efficiency and working at times that suit you.
Communication function
Communicating about absence is subject to privacy legislation. Communication via Xpert Suite complies with all GDPR requirements. This allows those involved to consult with each other safely and easily. For example, the Action Plan can be submitted to the employee via the system, who can then digitally sign it for approval. In addition, there is an integration with the UWV, whereby safety net sick reports, pregnancies, and 42nd week notifications are sent directly.
Integrations with HR packages
The employer ensures that all (personal) data, sick reports, and recovery notifications of employees are entered into Xpert Suite. If an organization has more than 20 employees, it can save a lot of time to do this via an integration with the HR package. If changes are made in the internal system, these are also automatically updated in Xpert Suite via the integration. This is more efficient and less prone to errors.
Always customized
At the start, we coordinate with the employer how the system will be used in collaboration for all parties. Because we offer customization, not a standard approach. Therefore, the system is not leading. This prevents certain actions from taking place—such as an appointment with the occupational physician—when the employee may be able to return to work within a few weeks. Xpert Suite is a wonderful tool that we let work for us, so that case managers can focus on personal advice. And our clients are assured of efficient, goal-oriented occupational health services.
